This message was emailed to the new students' family listserv & picnic ticket holders on Monday, August 13 at 8:30 a.m.:

We asked and you delivered!  So far, more than 3,500 parents and family members have purchased tickets to the New Student and Family Picnic, scheduled for Thursday, August 16, 2012.  We’re excited to celebrate the beginning of the academic year with you and need to share some important logistics for the day of these events that will assist in accommodating such a large turnout.  We apologize in advance for the length of the email, but ask you to please review this information carefully.

Check the Housing & Dining website to learn about Move-In 2012 traffic patterns and parking by Residence Hall and don’t forget to pick up your Ram Welcome parent & family schedule/map from your student after he/she goes through the check-in lines!

Your student is coming to Colorado State during a period of intense growth and discovery where our campus culture and spirit is emerging much faster than our infrastructure.  As such, we are in a place where our dreams, ideas, and celebrations are bigger than any of our event spaces and, if all of the folks who purchased picnic tickets attend the Parent & Family Reception and Convocation viewing, we will far exceed the capacity in the Student Recreation Center!  While we think it is so fantastic that families want to participate in the Ram Welcome experience, our hope with this message is to communicate a few alternatives to this event to alleviate the expected overcrowding.

For families interested in watching the live broadcast of Convocation, we have set up an additional location to stream the broadcast:  the main ballroom in the Lory Student Center. This location will open at the same time as the Parent & Family Reception (3:45 p.m.), and light refreshments will be available. Please note the Convocation broadcast will begin at approximately 5 p.m.

We chose the second location based on its central location on campus.  We know move-in day can be a bit hectic with families trying to accomplish all of the things on their “to do” list.  If you prefer to skip the reception in favor of running errands in the Lory Student Center (for example, picking up some new Ram gear at the CSU Bookstore, working with RamTech to ensure your student’s laptop has clean access in the Residence Halls, etc.) we encourage you to do so and then attend the Convocation broadcast in the ballroom, located on the top level of the LSC.

If you choose to pass over the Parent & Family Reception and Convocation entirely, there is plenty of time to run some last minute errands in Fort Collins, experience a self-guided campus tour, or just freshen up and rest a bit before attending the New Student & Family Picnic at 6:30 p.m. Please note:  new students are expected to attend their floor meetings/commuter student meetings at 4:00 p.m. and Convocation in Moby Arena from 5:30-6:30 p.m., so the free time option applies only to family members.

Lastly, please know we will archive the Convocation video and post it on our website, for those of you who are interested, but wish to view it at a less hectic time.  Look for the link in the September Parent & Family e-Newsletter.

If you purchased tickets to the New Student & Family Picnic and chose the “print at home” option, please make sure to print your tickets before you arrive on campus.  We do not have available printing on campus before the semester begins and cannot accept tickets shown on smart phones or laptops at the picnic entrance.

If you chose the “will call” option, please pick up your tickets at the Box Office in the Lory Student Center before 4:00 p.m. on Thursday, August 16

For families who did not purchase tickets to the New Student & Family Picnic, there will be two vendors open until 8:00 p.m. in the Lory Student Center, just steps away from the picnic.  We encourage you to purchase dinner at either That’s A Wrap or Taco Bell, or pick up dinner “to go” from a local restaurant and return to the picnic seating area to eat with other new CSU students and their families.  The seating area of the picnic is open to all Ram Welcome attendees, not just those going through the picnic lines.

We appreciate your commitment to your student’s Ram Welcome experience and hope this email clarifies traffic & parking as well as parents’ and family members’ options for the Parent & Family Reception and Convocation.

We’ll see you soon!
